Resources for learning

With its idyllic setting, impressive grounds, and great reputation, Cumnor House Sussex provides the facilities, culture, and framework to allow children to flourish. At the heart of the educational provision is the technology needed to support the learning infrastructure. Jason Street, ICT Manager, spoke about the importance of printing for the school’s curriculum, “With approximately 380 pupils and 150 members of staff, our print estate is critical in providing the teaching resources to support the lessons and back-office functions. We need robust and durable printing devices, software to provide us with full usage visibility for cost management, and a service package for peace of mind, so that when we do have any issues, they will be resolved quickly and efficiently.”

Fully managed and tailored

The school had experienced poor service from their previous supplier, so when their managed print lease was due for renewal, they looked at a local company with the expertise and knowledge to assess and audit the current print network and make recommendations for improvements and savings. Ben Hall, Director at Docex360, talked about their approach, “We understand that all customers are different and one size doesn’t fit all. Ben continued, “Cumnor House Sussex had previously received very limited account management with little engagement from their existing print supplier. They were also wasting a considerable amount on print-heads from the ink-jet devices that would dry up over the school holiday. We put forward a proposal for a transition to the latest Toshiba MFDs and printers that would not only considerably reduce the cost of their print estate, but also provide the latest technology to improve efficiency and capacity across the school.”

Having been awarded the contract, Docex360 seamlessly transitioned the fleet, pre-configuring and building in advance, setting up the servers with the PaperCut software, and ensuring that the process was as smooth and pain-free as possible.

Reducing the running costs

The new printing network has enabled the school to reduce their running costs by over 48%, whilst at the same time the higher specification devices have facilitated an increase in capacity of 66%. With the PaperCut dashboard, they now have full visibility of what they are printing and where, which has allowed for additional print savings purely by educating on the volume of materials that were sent to the printer and never released. Toners arrive when they are needed and Docex360 has even developed a three-tier billing process for the school, to help them make further reductions when using colour copies.
